SAP Business One
Modules
SAP Business One is a fully integrated application that provides the user with a real time solution
that shares information with the people who need it throughout the organization.
Although the solution can be delivered ‘out of the box’ SAP Business One has a very powerful
software development kit that enables the application to be tailored to fit.
The application’s core functionality is summarised on this
page.
Financials
The SAP Business One solution is built around its Financials module. The entire application feeds
into the system in real time. The Financials module has the ability to drill down from any journal
to the transaction.
SAP Business One has the ability to create a standard chart of accounts or a segmented chart of
accounts depending on the needs of individual companies. For companies with offices in different
locations each general ledger account code can be based on any currency setup within the
system.
The stock module is completely integrated into the General ledger and
all stock transactions post in real time to the Financials. No more need for accruing Goods
received not invoiced. SAP Business One’s integrated stock and general ledger does the accrual for
you.
Other features within the General ledger
include Budgeting, Profit centre reporting, Project reporting and multi-company
consolidation
Purchasing
SAP Business One Sales and Purchasing processes ensure that the user has access to all the relevant
information they require in real time. Purchasing can be done using a standard purchase order, a
back-to-back order or the MRP function.
Both Sales and purchase order processing provides the user with invaluable information such as the
historical purchase and sales prices for a particular customer or supplier, real time stock levels
and, using the drag and relate reporting tool, complete sales or purchase history
information.
SAP Business One’s sales and purchase order
screens can be altered to display information the user feels is relevant. Each user can
customise their view to suit their individual needs. This, coupled with the ability to add as
many new fields to both the header and line level, ensures that SAP Business One can cater for
any company’s requirements.
Warehousing &
Production
Streamlined and optimized distribution
processes are crucial to customer satisfaction and inventory cost control. Even if your product
line is extensive and complex, the SAP® Business One application offers comprehensive inventory
and production management functionality to meet your business needs. You can manage detailed
item, inventory, and warehouse data; track and record inbound, outbound, and inter warehouse
stock movements; and plan and release production orders based on your material requirements
planning.
CRM
Use the powerful sales management tools of the SAP Business One application to create quotes, enter
customer orders, and perform real-time availability checks cross all your warehouses. Record new
sales opportunities with relevant information, such as lead source, potential competition and
closing date. Track relevant activities from the first contact to the successful close of the
transaction. The integration of SAP Business One with Microsoft Outlook allows you to synchronize
contacts and opportunities, while gaining instant access to customer data from your e-mail using
snapshot templates. The print layout designer tool in SAP Business One provides templates for any
document you may need during the sales process, such as quotations, order confirmations, and

Human Resources
SAP Business One comes complete with a Human Resources (HR) Module to enable you to track details
on your employees. Employees can be set up as sales people or technicians the details of which are
then available to other relevant modules within SAP Business One.
The HR module stores all data relating to the employee such as Date of birth, start date etc. The
system also allows for the tracking of skills which assists in the selection of technicians within
the service module, absences and salary details.
Using SAP Business One’s alerting module
alerts can be created for line managers when an employee’s probation is coming to an end or
their annual review is due.
Drag & Relate
Drag & Relate is an interactive tool based on predefined system queries. You use it to create
reports and to display information about business processes. The user-friendly interface helps you
find important information quickly, and locate different objects or documents in SAP Business One.
For example, you can generate a report on all items or item groups, or all purchase orders that you
created for a particular vendor.
The Drag & Relate queries allow you to search for data both in
reports and in the master data, such as G/L accounts and business partners.
Use Drag & Relate to quickly produce reports and access
information in SAP Business One. You drag master data or system setup data, for example, business
partner master data, item groups, accounts or payment terms, and relate it to business process
information, for example A/R invoices, deliveries, purchase orders, or service calls.
Query Wizard
The query wizard enables easy access to the
SAP Business One database and is also an easy way of building user-defined reports. The wizard
will guide you step by step through the tables and parameters required for creating your own
queries. This is a great tool even if you are not technical, as it allows you to build custom
reports to suit your own business reporting requirements. You can build some simple queries to
pull basic fields from the database in a matter of minutes.
Data Transfer
Workbench
When making the change from legacy systems to new business management solutions, such as SAP
Business One, organisations are faced with the challenge of having to keep historic data online for
audit and research purposes as well as for ongoing day-to-day business activities. The best
practice for keeping historic data online is legacy data migration
which allows for a seamless transition from legacy systems to SAP Business One.
Data Transfer Workbench for SAP Business One is a migration tool that enables you to easily
transfer business and system data from your legacy system into SAP Business One. Data Transfer
Workbench incorporates data from all core business areas, such as accounting, sales, purchasing,
and logistics. Furthermore, it transfers master data, such as business partner and item records, as
well as transaction data, such as orders, invoices, and balances, as both need to be available in
the new SAP Business One system.
In addition to enabling configuration and
execution of initial data imports, Data Transfer Workbench helps you with all other data
migration needs, including the update of SAP Business One on a regular basis with data from
another system, or the migration of large amounts of data, which can be transferred as files,
rather than having to be typed manually into SAP Business One. All data transfers can be
executed manually on an ad-hoc basis or scheduled to run at certain times or
intervals.
Software Development
Kit
All Businesses differ in one way or another and whether you need to be able
to interface with another application or develop some custom procedures the Software Development
Kit (SDK) enables you to customise SAP Business One to your needs.
The SDK provides tools to customise the application in your own development
environment. VB and C++ are a couple of examples of the programming languages
used.
Within the application users without development experience can also modify
the application to better suit their needs. SAP Business One has the ability to add fields and
tables as well as rename existing fields.
